Privacy Policy
Introduction
Smurfs Football Club (‘Smurfs FC’, ‘we’, ‘us’, ‘our’) is committed to protecting your privacy. This policy explains how we collect, use, and safeguard your personal information when you use our website and services.
Information We Collect
We may collect the following types of personal information:
- Registration details — player name, date of birth, and guardian contact information
- Contact information — email address, phone number, and postal address
- Payment information — details necessary to process academy fees and kit purchases
- Media — photographs and videos from training sessions, matches, and events
- Website usage data — cookies, analytics, and browsing information collected automatically when you visit our site
How We Use Your Information
We use the information we collect to:
- Manage player registrations and day-to-day academy operations
- Communicate about training schedules, events, and important announcements
- Process payments for academy fees, kit, and merchandise
- Ensure player safety and welfare across all our training grounds
- Improve our website, services, and overall experience
Information Sharing
We do not sell your personal information to third parties. We may share your data only in the following circumstances:
- Coaching staff — for training management and player development purposes
- Tournament organisers — when required for player registration at external competitions
- Payment processors — to handle transactions securely on our behalf
- Legal obligations — where required by applicable law or regulation
Children's Privacy
As a youth football academy, we take children's privacy seriously. We collect information about young players only with the explicit consent of their parent or guardian. Parents and guardians can request access to, correction of, or deletion of their child's information at any time by contacting us.
Data Security
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. While no method of transmission over the internet is completely secure, we take reasonable steps to safeguard the data entrusted to us.
Cookies
Our website uses cookies for essential functionality and analytics. Cookies help us understand how visitors interact with our site so we can improve the experience. You can control cookie settings through your browser preferences. Please note that disabling certain cookies may affect the functionality of our website.
Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of any inaccurate or incomplete data
- Request deletion of your personal data
- Withdraw your consent at any time
To exercise any of these rights, please contact us.
Deleting your account
If you have an account in the Smurfs FC app, you can delete it at any time from Account → Delete account inside the app. Deletion is permanent and the account cannot be recovered. If you no longer have the app installed, see how to delete your account.
Match results, fixtures and squad sheets entered during a tournament remain part of that tournament's record with no personal identifiers attached, so a completed tournament's results do not disappear when one manager closes an account. If you are a visiting club and want a player's details removed from a tournament record, contact us and we will remove them on request.
Visiting clubs and tournament entries
Smurfs FC hosts tournaments that other clubs enter. If you are a coach or manager at a visiting club, the account you create in our app is separate from our academy's own accounts. It is held apart from our players' and parents' records by design, and it gives you access to your own team and to the tournament you have entered — never to our academy's children, registers, fees or messages.
When your club enters a tournament through the app, we hold:
- Your details as the club's contact — name, email address and phone number
- Your club's squad list — each player's name, year of birth and shirt number, as typed in by you. We do not ask for, and do not hold, addresses, medical information or contact details for the children in a visiting squad.
- What happened in the tournament — fixtures, results, goals and any cards, and the certificates issued to your players
- Photographs — only if your club has agreed to them. The entry form asks separately whether your players may appear in tournament photos, and if you say no, no photograph tagged with your team can be published.
How long we keep it. A tournament's record — the fixtures, results and standings — is kept as the club's permanent sporting record. The details of the children in a visiting squad are kept while that record stands, and are deleted on request: if you want a player's details removed, contact us and a member of our staff will remove them. There is no automatic deletion after a fixed period, and we will not refuse a request because a tournament has finished.
Who can see a published tournament photo. Anyone signed in to the Smurfs FC app can see photographs published for a tournament — not only the club in the picture. Treat a published photo as a public one. If you want a photo taken down, either your club's manager or our staff can remove it, and removing it deletes the image itself and not merely the link to it.
